We are seeking an organised, professional, and proactive Reception / Office Administrator to join a busy and supportive team based in Geebung.
This is a varied role that combines reception, administration, sales support, reporting, event coordination, and general office management. You will be the first point of contact for visitors and callers while providing essential support to the Sales Team and Site Managers.
Key Responsibilities
Sales & Marketing Support
- Maintain and distribute brochures, product information, manuals, and sales literature
- Assist with the design and preparation of marketing materials, brochures, and invitations
- Prepare quotations and sales documentation
- Assist with proposals, tender submissions, and major project documentation
- Prepare monthly sales and management reports
- Coordinate meetings, conferences, agendas, and minutes
- Assist with the organisation and setup of exhibitions, product launches, and promotional events
- Maintain sales leads and databases
- Prepare project lists and reports
- Record and distribute meeting minutes and other documentation
- Answer and direct incoming calls
- Welcome visitors and provide a professional first impression
- Manage incoming mail, deliveries, and couriers
- Ensure reception and showroom areas remain presentable
- Order and manage office stationery and catering supplies
- Provide administrative support across multiple departments
- Assist with reception relief when required
- Manage petty cash and departmental receipt reconciliations
- Coordinate office maintenance requirements
About You
- Minimum 3 years' administration experience, ideally in office administration or sales support
- Strong Microsoft Office skills, including Word, Excel, and PowerPoint
- Excellent communication and customer service skills
- High level of professionalism and attention to detail
- Strong organisational and time management abilities
- Ability to prioritise tasks and meet deadlines
- Proactive, reliable, and team-oriented approach
- Experience with Adobe Photoshop and Illustrator
