Purchasing Administration Officer
Location:  Melbourne CBD 
Pay Rate:  $75p/h + super
Contract:  ASAP start - 3 months

We are currently seeking an experienced Purchasing Administration Officer to support procurement operations within a busy and compliance-driven environment.
This role plays a key part in ensuring purchase orders are accurate, compliant, and aligned with procurement policies, while also supporting supplier administration and broader transactional activities.
You will also provide support across procurement and finance systems, assisting stakeholders and maintaining accurate procurement records.

Key Responsibilities
  • Review and validate purchase orders, ensuring compliance with procurement policies and procedures
  • Confirm purchase orders are raised against valid and active contracts with complete supporting documentation
  • Perform compliance checks including contracts, quotes, certificates of insurance, and related documentation
  • Create, process, and maintain purchase orders in procurement systems
  • Support supplier onboarding and verify insurance requirements
  • Maintain accurate records across procurement and finance systems
  • Provide guidance and support to internal stakeholders on procurement processes and systems
  • Identify and escalate non-compliant transactions
  • Contribute to process improvements and support a collaborative team environment
About You
  • Proven experience in procurement, purchasing, finance, or administrative roles (not entry-level)
  • Strong attention to detail with a high level of accuracy
  • Experience working with purchase orders and procurement processes
  • Demonstrated ability to work in compliance-driven environments
  • Intermediate Excel skills and confidence using systems (ERP or procurement platforms preferred)
  • Strong analytical and problem-solving capabilities
  • Excellent communication and stakeholder engagement skills
  • Highly organised, with the ability to manage competing priorities
Desirable
  • Experience within public sector procurement environments
  • Knowledge of procurement frameworks such as VGPB or Buying for Victoria
  • Experience with procurement or finance systems
Additional Information
This is a short-term contract role supporting the team during a period of increased workload and strategic focus.
