We are seeking an experienced Personal Assistant to provide high-level administrative support cover to the Manager City Safety & Health and the broader leadership team within a local government environment.
This is a varied and fast-paced role, supporting both executive operations and Emergency Management initiatives, requiring strong organisational skills, stakeholder engagement and the ability to manage competing priorities.
Key Responsibilities
- Provide proactive, high-level administrative support including diary management, inbox coordination and correspondence
- Manage enquiries, communications and documentation to a high professional standard
- Coordinate meetings, events and functions including logistics, bookings and preparation of materials
- Support financial administration including purchase orders and expenditure reconciliation
- Assist in the development and improvement of systems, processes and reporting
- Collaborate across departments to support projects, strategies and initiatives
- Provide administrative and project support to Emergency Management activities
- Prepare reports, newsletters, and stakeholder communications
- Coordinate internal and external stakeholders across council, government and emergency services
- Provide secretariat support to the Municipal Emergency Management Planning Committee
- Previous experience in a Personal Assistant, Executive Assistant or senior administration role
- Strong organisational and time management skills with the ability to manage multiple priorities
- Excellent written and verbal communication skills
- High attention to detail and ability to produce quality documentation
- Strong stakeholder engagement and customer service focus
- Proficiency across Microsoft Office and corporate systems
- Local government experience is desirable
- Experience with Infor Pathway or similar systems is advantageous
- Current Victorian Driver’s Licence
- Police Check and right to work in Australia
- Flexibility to support occasional after-hours Emergency Management requirements if needed
