Personal Assistant – City Safety & Health & Emergency Management Support
Wantirna South
$47 per hour + super
Short-term coverage through to 9 June

We are seeking an experienced Personal Assistant to provide high-level administrative support cover to the Manager City Safety & Health and the broader leadership team within a local government environment.
This is a varied and fast-paced role, supporting both executive operations and Emergency Management initiatives, requiring strong organisational skills, stakeholder engagement and the ability to manage competing priorities.

Key Responsibilities
  • Provide proactive, high-level administrative support including diary management, inbox coordination and correspondence
  • Manage enquiries, communications and documentation to a high professional standard
  • Coordinate meetings, events and functions including logistics, bookings and preparation of materials
  • Support financial administration including purchase orders and expenditure reconciliation
  • Assist in the development and improvement of systems, processes and reporting
  • Collaborate across departments to support projects, strategies and initiatives
  • Provide administrative and project support to Emergency Management activities
  • Prepare reports, newsletters, and stakeholder communications
  • Coordinate internal and external stakeholders across council, government and emergency services
  • Provide secretariat support to the Municipal Emergency Management Planning Committee
About You
  • Previous experience in a Personal Assistant, Executive Assistant or senior administration role
  • Strong organisational and time management skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • High attention to detail and ability to produce quality documentation
  • Strong stakeholder engagement and customer service focus
  • Proficiency across Microsoft Office and corporate systems
  • Local government experience is desirable
  • Experience with Infor Pathway or similar systems is advantageous
Additional Requirements
  • Current Victorian Driver’s Licence
  • Police Check and right to work in Australia
  • Flexibility to support occasional after-hours Emergency Management requirements if needed
