Onboarding & Logistics Coordinator

Location: Mayfield NSW
TEMP - PERM for the right person
Pay Rate: $40/hour (includes casual loading) + Super 
Hours: Monday to Friday | 8:00am – 4:30pm
Start Date: ASAP

We are currently seeking an experienced and highly organised Onboarding & Logistics Coordinator to join a fast-paced operations team based in Mayfield.

This position will play a key role in coordinating onboarding, mobilisation, compliance, travel, training, and workforce logistics for personnel across multiple projects.

Key Responsibilities
  • Coordinate all onboarding processes including Right-To-Work documentation and background/reference checks

  • Prepare onboarding packs, employment documentation, and mobilisation paperwork

  • Schedule and coordinate onboarding activities for new employees

  • Ensure all onboarding paperwork and compliance requirements are completed accurately and on time

  • Assist new hires with completion of forms, inductions, IT setup, and onboarding systems

  • Coordinate and book medicals, training, and competency requirements

  • Arrange flights, accommodation, and travel logistics

  • Assist with visa processing for foreign labour across Australian and international projects

  • Maintain and update key resource tracking sheets and personnel records

  • Manage crew lists and mobilisation/pay matrices

  • Populate and issue Letters of Offer and engagement documentation

  • Liaise with management, supervisors, branch staff, and employees regarding personnel mobilisation and onboarding requirements

  • Provide general administrative and office support as required

Skills & Experience
  • Previous experience in onboarding, mobilisation, workforce coordination, recruitment support, or logistics administration

  • Strong understanding of onboarding compliance and employee documentation processes

  • Excellent organisational skills with the ability to manage multiple priorities

  • Strong attention to detail and ability to work autonomously

  • High level interpersonal and communication skills

  • Experience working with multiple onboarding systems and stakeholders

  • Strong computer skills including Microsoft Excel, Word, and Outlook

  • Experience within labour hire, mining, engineering, construction, or shutdown environments highly regarded

  • Experience using Pegasus, Damstra, and/or Rapid Global onboarding systems highly desirable
