About the Role
An opportunity exists for an experienced and organised Facilities Coordinator / Receptionist to support the day-to-day operations of a busy office and depot environment in Bendigo.

This role combines front-of-house reception responsibilities with workplace and facilities coordination, ensuring employees, visitors and contractors experience a safe, well-maintained and professional workplace. You will be the key contact for workplace-related requests, coordinate facilities services, and provide administrative support across a broad range of operational activities.

The successful candidate will be highly organised, proactive and comfortable managing multiple priorities while building strong relationships with internal and external stakeholders.

Key Responsibilities
  • Act as the first point of contact for visitors, employees and contractors
  • Provide professional front desk reception and customer service support
  • Manage reception operations, enquiries and visitor sign-in processes
  • Coordinate meeting room bookings, room setup requirements and facility readiness
  • Manage incoming and outgoing mail, courier services and mailroom activities
  • Arrange catering for meetings, training sessions and workplace events
  • Order and maintain office supplies, stationery, furniture and kitchen consumables
  • Build and maintain effective relationships with key site stakeholders
  • Manage facilities-related requests including maintenance, cleaning, air conditioning, grounds maintenance, office equipment and workplace services
  • Coordinate contractors and service providers for property maintenance and workplace projects
  • Monitor contractor activities and communicate progress updates to stakeholders
  • Liaise with building management and external providers to ensure services are delivered effectively
  • Schedule and coordinate preventative maintenance activities and essential building maintenance requirements
  • Assist with workplace compliance activities and maintain relevant records and documentation
  • Raise, track and monitor facilities requests through workplace management systems
  • Process invoices and support accounts administration activities, including SAP invoice processing
  • Ensure workplace health, safety and property-related issues are escalated and addressed appropriately
  • Support onboarding logistics, workplace inductions and office-wide initiatives
  • Maintain reception, meeting rooms and common areas to a high standard
  • Provide general administrative support as required

About You
  • Previous experience in reception, facilities coordination, workplace services, office administration or a similar role
  • Strong organisational skills with the ability to manage multiple priorities
  • Excellent communication and stakeholder management skills
  • Professional presentation and customer-focused approach
  • Experience coordinating contractors, suppliers or service providers is highly regarded
  • Strong attention to detail and problem-solving abilities
  • Experience using SAP or similar systems would be advantageous
  • Proficiency across Microsoft Office applications
  • Ability to work independently and take initiative
  • Flexible and proactive approach to work
