Key Responsibilities
- Ensure contractual administration meets probity, governance, and organisational requirements.
- Review and process contractor and consultant invoices, confirming accuracy against contracts and monitoring budgets.
- Liaise with suppliers to reconcile invoices and manage cost tracking information.
- Draft procurement and project documentation, including scopes of work and tender assessments.
- Establish and manage purchase orders and coordinate contract variations in line with agreed scopes and payment schedules.
- Raise, manage, and track workflows (JIRA cases, Property Cases, Procure-to-Pay cases) ensuring accuracy and completeness.
- Support property handover activities, including site inspections, measurements, photos, and inventory tracking.
- Maintain accurate property and project data across systems, ensuring data integrity.
- Manage contract and project accounting records within relevant systems.
- Perform data entry and administrative tasks to support project delivery.
- Assist with additional duties as directed by leadership.
- Strong communication and stakeholder engagement skills, with the ability to build positive working relationships.
- Sound judgement and ability to interpret and apply policies, procedures, and guidelines.
- Proven ability to work both autonomously and collaboratively under competing priorities and tight deadlines.
- Excellent organisational, analytical, and problem-solving skills with high attention to detail.
- Advanced proficiency in Microsoft Office, particularly Excel, and the ability to quickly learn new systems.
- Must hold and maintain a valid driver’s licence.
- Baseline security clearance
- Background in project or contract management within construction, development, technical, heritage, or related industries.
- Experience with Atlassian tools (JIRA, Confluence) and TechnologyOne systems.
