Our government client is seeking an experienced and highly organised Executive Services Coordinator (AO5) to provide high-level executive and administrative support to the Executive Program Director. This is an excellent opportunity for a professional who can quickly adapt to a fast-paced environment and provide exceptional executive support from day one.
About the Role
Reporting to the Executive Program Director, you will be responsible for:
- Providing confidential executive administrative support, including diary management, meeting coordination, and management of a shared inbox.
- Researching, analysing, and preparing briefing notes, submissions, reports, correspondence, and responses for internal and external stakeholders.
- Drafting clear, concise, and high-quality documentation, including proposals, information sheets, communiqués, agendas, and meeting minutes.
- Coordinating requests for briefing notes, correspondence, speeches, and materials required for meetings, briefings, and forums.
- Supporting meetings chaired by the Executive Program Director through the preparation of agendas, papers, minutes, and follow-up actions.
- Maintaining information management, corporate documentation, and recordkeeping systems.
- Providing secretariat and project support to the Executive Program Director and Executive Officer.
- Liaising effectively with senior executives, departmental representatives, and external stakeholders.
- Contributing to a professional, accountable, and collaborative work environment.
About You
To be successful in this role, you will possess:
- Demonstrated experience providing executive support at a senior level, preferably within a government environment.
- Strong written communication skills with experience preparing briefings, reports, correspondence, and executive documentation.
- Excellent organisational and time management skills, with the ability to manage competing priorities and tight deadlines.
- High levels of discretion, professionalism, and confidentiality.
- Well-developed stakeholder engagement and relationship management skills.
- Strong attention to detail and proficiency in Microsoft Office applications.
- The ability to work independently while contributing effectively as part of a team.
