We are seeking an experienced Office & Administration Coordinator to support a busy PMO and Major Projects team. This is a short-term opportunity offering variety, structure, and the chance to contribute to key capital works and project delivery outcomes.
Providing high-level administrative support across the department, ensuring smooth day-to-day operations while assisting with reporting, procurement, and stakeholder coordination.
Key responsibilities
- Provide administrative support across the PMO and Major Projects team
- Raise and process purchase orders and invoices
- Assist with procurement and contractor coordination
- Take meeting minutes and track actions
- Support capital works and performance reporting
- Coordinate departmental reporting on budgets, KPIs, and plans
- Manage incoming correspondence and customer requests
- Maintain and update internal systems and databases
- Assist in coordinating meetings and preparing documentation
- Proven experience in administration, ideally within projects, infrastructure, or similar environments
- Strong skills in Microsoft Office, particularly Excel
- Experience with procurement processes and invoice management
- High attention to detail with strong organisational skills
- Confident communicator with the ability to manage stakeholders
- Ability to prioritise tasks and meet deadlines in a fast-paced environment
