This position works closely with Councillors, senior leaders, and internal stakeholders and requires a high degree of professionalism, discretion, and flexibility.
Key Responsibilities
- Coordinate and support Meetings of Council, Councillor Workshops and Committee meetings
- Prepare, distribute and manage Council, Committee and Workshop papers and presentations
- Attend meetings and workshops, take minutes, and track actions and outcomes
- Provide high‑quality administrative, business and project support to the Secretariat function
- Support Council staff in the use of business paper and records management systems
- Manage incoming correspondence and act as a key point of contact for Secretariat enquiries
- Assist with training, conferences and continuous improvement initiatives
- Certificate IV in Business (Administration) or equivalent experience
- Minimum 4 years’ experience supporting Council, Board or senior executive meetings
- Strong experience in high‑level administration, minute taking and report preparation
- Proficient in MS Office and electronic document/records management systems
- Highly organised, detail‑focused and able to manage competing deadlines
- Professional, discreet and confident working with senior stakeholders
