Overview
This government client is seeking an experienced Project Support Officer to join the Special Projects team. The team is responsible for delivering the region’s priority infrastructure projects across planning, pre-construction, and construction phases. This includes design coordination, tendering, contract administration, and project handover to Construction and Preservation & Maintenance teams. In this role, you will provide high-level administrative and project support to Project Managers and team members, contributing to the efficient and compliant delivery of projects. You will utilise a broad range of software applications, information management systems, and databases to support project operations.
Key Responsibilities
- Deliver high-level administrative support, including coordinating meetings, preparing agendas, recording and distributing minutes, and developing reports, presentations, spreadsheets, and registers.
- Support project delivery through financial approval documentation, contract administration systems, and procurement activities.
- Assist with procurement processes, including preparation of tender documentation, liaising with external stakeholders, and ensuring alignment with departmental governance frameworks.
- Maintain accurate project documentation, ensuring records are compiled, tracked, and managed to meet required timeframes and approval processes.
- Provide administrative assistance across multiple Project Managers to ensure deadlines and project milestones are achieved.
- Ensure all activities comply with relevant legislation, including WHS requirements, as well as organisational policies, procedures, and governance standards.
About You
- Strong administrative and organisational skills within a project environment
- Experience supporting procurement and contract administration processes
- High attention to detail with the ability to manage multiple priorities
- Proficiency in relevant software systems and databases
- Understanding of government processes and compliance frameworks (desirable)
