3-Month Contract | June Start | Potential Extension
Chandler Macleod is currently seeking an experienced and motivated Administration Assistant for a short-term 3-month contract based in Derrimut, with occasional travel to Shepparton. Accommodation and a company vehicle will be provided for any required travel.
This is an excellent opportunity to join a busy and growing business within the plant and equipment dry hire industry, supporting day-to-day operations and field service administration.
About the Role
As the Administration Assistant, you will play a key role in ensuring smooth operations across administration, purchase orders, work orders, invoicing, and general office support.
Key Responsibilities
General Administration
- Answering and directing incoming calls
- Managing the Field Service inbox, responding to enquiries and escalating where required
- Filing, scanning, and maintaining accurate records
- Providing general administrative support to the wider team
- Managing open purchase orders and matching incoming invoices
- Processing subcontractor purchase orders and invoices across workshop, engineering, transport, assets, and hire control
- Warehouse receipting incoming invoices
- Escalating invoices that exceed approved purchase order spend
- Ensuring all purchase orders are accurate and complete
- Entering all job details, parts used, and service notes into Texada work orders
- Managing and closing open subcontractor work orders
- Following up outstanding work orders where required
- Ensuring customer damages are captured and invoiced
- Maintaining open job orders under 60 days
- Ensuring all work order information is accurate and complete
- Managing company credit card reconciliations and monthly Flexi purchases
- Preparing reports and supporting operational requirements
- Completing additional tasks as requested by management
- Following all workplace health and safety procedures
- Reporting hazards, incidents, and near misses
- Maintaining a safe and organised work environment
- Ensuring all work meets company, manufacturer, and legislative standards
- Previous administration experience in a fast-paced environment
- High attention to detail and strong accuracy skills
- Excellent organisational and time management abilities
- Strong written and verbal communication skills
- Ability to work independently and as part of a team
- Strong problem-solving skills and initiative
- Current driver’s licence required
- Experience in construction, transport, hire, trade, or industrial sectors highly regarded
