About the Role
A major system transition to the new Brief Connect platform has created the need for additional short‑term support within the Ministerial and Portfolio Services team. We are seeking a proactive and detail‑oriented Ministerial & Portfolio Services Advisor (VPS4) to help maintain business‑as‑usual operations during this period.
Reporting to the Team Leader, you will contribute to the effective coordination of ministerial briefings, correspondence, reporting, and portfolio engagement activities. You will also support administrative processes and project coordination to ensure ministerial offices and the Office of the Secretary continue to operate efficiently.
Key Responsibilities
- Provide advice and support on briefing and correspondence processes
- Coordinate ministerial and portfolio projects and workflow activities
- Assist with reporting, quality control and process compliance
- Support international ministerial travel coordination and related logistics
- Manage administrative tasks that enable the smooth functioning of ministerial offices
- Use internal business systems, including the new Brief Connect platform
- Engage with departmental staff to ensure timely and accurate submissions
- Contribute to guidance materials, documentation and process improvements
The ideal candidate will bring:
- Strong written and verbal communication skills, including clear professional emails
- Experience within government environments, particularly briefing, correspondence or approvals workflows
- Excellent stakeholder management skills
- A logical, structured mindset with strong attention to detail
- A curious, responsive and proactive approach
- Comfort with data and reporting(Power BI desirable but not essential)
- Previous exposure to ABC or Brief Connect systems(highly regarded, not mandatory)
