About the Role
Reporting into the project delivery team, you will lead document control activities across multiple capital projects, ensuring consistency, governance compliance, and best-practice standards are applied at all times.
Key Responsibilities
- Lead document control management across the capital project portfolio, ensuring consistent application of frameworks, procedures, and best practices
- Coordinate the full lifecycle of project documentation, including engineering deliverables, design packages, procurement documents, RFIs, transmittals, and contractor submissions
- Manage document review workflows, ensuring timely approvals, accurate revision control, and full traceability of comments and decisions
- Maintain document registers, metadata standards, and naming conventions to ensure document integrity and accessibility
- Provide expert guidance to project teams on document control systems such as Objective and SharePoint, including classification, retrieval, and workflows
- Support project start-up and close-out activities, including handover documentation and archival processes
- Conduct internal audits and quality checks to ensure compliance with document control policies, regulatory requirements, and quality standards
- Prepare workflow and progress reports, coordinate document control meetings, and drive continuous improvement initiatives
About You
You are a proactive and detail-focused document control professional with experience supporting major capital or infrastructure projects. You are confident working with multiple stakeholders and thrive in structured, fast-paced environments.
Qualifications & Experience
- Certificate or Diploma in Business Administration, Information Management, Project Management, or a related discipline (desirable)
- Training or certification in document control or information management systems
- Significant experience in document control roles within construction, engineering, mining, infrastructure, or capital projects
- Ability to translate business requirements into IT requirements or user stories to support project outcomes
- Demonstrated experience in document control and/or records management within major projects or office environments
- Advanced proficiency with EDMS/CDE platforms such as Aconex, Content Manager, SharePoint, or ProjectWise
- Strong understanding of engineering documentation, drawings, specifications, and project lifecycle requirements
- Knowledge of document control standards, quality management systems, and regulatory frameworks
- Highly organised, self-motivated, and able to manage competing priorities
- Strong written, verbal, and interpersonal communication skills
- Ability to build rapport and work collaboratively with internal and external stakeholders
- Analytical and systematic problem-solving approach
- Comfortable working independently as well as within cross-functional teams
