Contract: 6 months (with possible extension)
We are seeking a highly capable Project Support Officer / Executive Assistant to provide executive and administrative support to the Legal Services System (LSS) Project.
The role will support the LSS Executive Team by ensuring effective coordination of communications, meetings, documentation and project activities. This position requires a high level of organisation, discretion and attention to detail, contributing to efficient operations and successful project delivery.
Key Responsibilities:
- Provide high-level, confidential executive, administrative and secretarial support to the Executive Project Director and Project Director, exercising initiative and sound judgement with limited supervision
- Act as the first point of contact for the LSS Executive Team, managing enquiries, calendars, meetings and appointments
- Coordinate and maintain project documentation including project plans, registers and schedules
- Support project assurance activities including quality reviews, audits and compliance checks
- Monitor project milestones, deliverables and dependencies, escalating risks and issues as required
- Manage incoming correspondence, emails and workflow items, ensuring timely prioritisation and follow-up
- Organise project and governance meetings, including preparation of agendas, minute-taking and distribution of materials
- Prepare professional correspondence, presentations, briefing notes and reports
- Maintain confidential records in accordance with record-keeping requirements
- Review and improve administrative processes to enhance workflow efficiency
- Support project reporting and governance functions
- Provide assistance to the broader project team during peak periods
- Liaise with internal and external stakeholders to support effective communication
- Monitor action items and deadlines to ensure timely project governance
Key Requirements:
- Demonstrated experience in an Executive Assistant or Project Support role within a project environment
- Strong organisational skills and attention to detail
- Ability to manage competing priorities and work with minimal supervision
- Excellent written and verbal communication skills
- Experience supporting project governance, reporting and documentation
- High level of professionalism and discretion in handling confidential information
- Proficiency in Microsoft Office and relevant systems
