About the Role
We’re seeking an organised and proactive Office & Administration Coordinator
to support a busy PMO & Major Projects team. You will coordinate administrative systems, reporting, contractor compliance, documentation and departmental processes to ensure smooth delivery of project and organisational objectives.
This position suits someone who thrives in a structured environment, loves improving processes and enjoys building positive working relationships across teams.
Key Responsibilities
- Coordinate departmental administration, reporting, budgets, KPIs and Council Plan actions.
- Maintain and update electronic information systems, asset databases and records.
- Process purchase orders, invoices, contractor compliance and customer/councillor requests.
- Assist with meeting coordination including agendas, minutes and tracking of action items.
- Support continuous improvement of administrative systems and reporting processes.
- Provide high‑quality customer service to internal and external stakeholders.
You’re detail‑oriented, organised and able to juggle competing priorities in a fast‑paced environment. You enjoy supporting a collaborative team, managing information and helping ensure smooth project operations.
What You’ll Need
- Qualification in Business, Administration or similar, or strong experience in an equivalent role.
- Proven administrative experience, ideally in Local Government or a service‑based environment.
- Excellent written and verbal communication skills.
- Strong MS Office capability (Excel, Word, Access) and confidence with digital systems.
- Ability to meet deadlines, follow procedures and maintain accuracy under pressure.
This is an office‑based, sedentary role involving computer work, sitting, and occasional light manual handling (approx. 1–5kg).
The role requires sustained concentration, data entry, written communication, decision‑making and stakeholder interaction.
