We’re seeking a Project Officer / Advisor
to join a high-performing team within the Quality Assessment and Regulation Division (QARD). This role plays a key part in supporting accountability, transparency, and compliance across the department’s reform activities — ensuring documentation requests are managed efficiently, accurately, and in line with legislative and governance requirements.
Reporting to the Strategy Manager, you’ll take ownership of document coordination and management processes, helping to strengthen governance and information flow across the division.
Key Responsibilities
- Coordinate Orders for Production of Documents for the Victorian Parliament, ensuring requests are tracked, prioritised, and delivered within required timeframes.
- Develop, implement, and maintain document management processes that ensure accuracy, version control, and compliance with departmental and legislative standards.
- Liaise with internal stakeholders to collect, verify, and prepare documentation for submission, ensuring information is complete, consistent, and fit-for-purpose.
- Monitor and report on the progress of documentation requests, proactively identifying risks or delays and escalating as needed.
- Support the preparation of briefs, reports, and correspondence that demonstrate compliance and uphold transparency.
- Contribute to continuous improvement initiatives that embed consistency in records and document management practices.
- Model professionalism, collaboration, and integrity in alignment with Victorian Public Sector (VPS) values.

You will also bring:
- Strong experience in project coordination, governance, or documentation management within government or a similar regulated environment.
- Excellent stakeholder engagement and communication skills, with the ability to collaborate across multiple teams.
- A sound understanding of public sector accountability, compliance, or records management frameworks.
- The ability to work with discretion and manage sensitive or confidential material.
