About the Role
We are seeking a part time dedicated and organised temporary
Office & Facilities Administrator
to be the backbone of our client’s workplace operations on a 12-month temporary assignment.
This pivotal role combines administrative support, facilities coordination, and team assistance to ensure the office runs smoothly and efficiently. You will be the go-to person for keeping things organised, maintaining a welcoming environment, and ensuring that facilities are well-managed.
This role covers Monday-Friday 8am – 2pm.
Please note there are no working from home options.
Key Responsibilities
Office Administration
- Manage daily administrative tasks including handling correspondence, emails, phone calls, and greeting visitors.
- Provide a warm and professional front-desk experience for all guests.
- Coordinate the receipt and dispatch of parcels and mail via courier.
- Maintain and reorder office supplies in line with company guidelines.
- Prepare reports, presentations, and documents as needed.
- Organise and maintain office records and documentation.
- Coordinate meeting room bookings and schedules.
- Provide ad hoc administrative support to team members.
- Undertake Fire Warden and First Aid training.
- Raise shopping carts and process invoices in SAP (training provided).
- Ensure office spaces are kept clean, organised, and functional.
- Liaise with vendors and contractors for repairs and maintenance.
- Maintain office equipment in good working order.
- Conduct office inductions for new staff and issue staff passes.
- Assist with travel and accommodation bookings via the approved travel supplier.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organisational skills with the ability to multitask and prioritise effectively.
- Excellent verbal and written communication skills.
- High attention to detail and a proactive approach to problem-solving.
- Ability to work independently and as part of a collaborative team.
- Flexible and adaptable to changing business needs and priorities.
