Chandler Macleod are seeking a proactive and experienced Executive Assistant to join our client, based in Canberra for a full time 3 month temporary contract with potential extension. The ideal candidate will provide seamless administrative assistance to senior officers, ensuring the smooth running of their offices and effective management of their priorities.
Key Responsibilities
- Manage multiple officers’ emails, calendars, and appointment scheduling, including briefing requests and follow-up actions.
- Prepare meeting materials such as agendas, minutes, briefs, and correspondence, tracking tasks to ensure timely completion.
- Maintain and update office records and systems using tools like Microsoft Office, SAP, PDMS, and TRIM.
- Conduct research and analysis to assist in projects, operations, and administrative tasks.
- Coordinate domestic and international travel arrangements, including visa processing, travel itineraries, and expense reconciliation.
- Handle sensitive information with tact and discretion, ensuring confidentiality at all times.
- Collaborate across departments to facilitate communication and achieve shared objectives.
- Support administrative coordination units and adapt to changing priorities as required.
- You have proven experience as an Executive Assistant or in a similar administrative role, capable of working independently under general direction.
- Your organisational skills are outstanding, with the ability to multitask, prioritise, and adapt quickly to changing demands.
- You are personable, approachable, and excel at building positive relationships with a broad range of stakeholders.
- You thrive in busy environments, maintaining professionalism and confidentiality at all times.
- You possess excellent communication skills, both written and verbal, and can handle complex or sensitive information with discretion.
- Experience working with government agencies and familiarity with electronic file systems (like SAP and TRIM) is highly desirable.
- You hold a current Australian Government Negative Vetting Level 1 (NV1) security clearance.
