Temporary Executive Assistant – 4-Month Contract
Are you a highly organised, proactive, and professional Executive Assistant looking for a short-term opportunity to support a dynamic and fast-paced team? We are currently seeking an experienced Executive Assistant
for a 4-month temporary contract
to support the Operations Manager
and senior leadership team.
About the Role
As the Executive Assistant, you will provide high-level administrative and executive support to the Operations Manager and senior management team. You will be responsible for managing complex diaries, coordinating meetings, maintaining filing systems, supporting committees, and ensuring smooth communication across internal and external stakeholders
Key Responsibilities
Executive Support
- Manage schedules, appointments, and meetings for the Operations Manager
- Screen and triage correspondence, escalating urgent matters appropriately
- Draft, prepare and manage correspondence and documentation as required
- Provide secretarial and administrative support to internal committees and working groups
- Coordinate communication and correspondence across the executive office
- Maintain filing systems, office organisation, and confidential records
- Provide secretariat support and coordination for events and documentation
- Manage travel bookings and accommodation for the Operations Manager
- Maintain diary systems, track commitments, and ensure follow-ups are actioned
- Greet and screen visitors and manage incoming calls
- Organise catering and room bookings for meetings, conferences, and functions
- Support continuous quality improvement initiatives
- Ensure Occupational Safety and Health compliance in relevant duties
- Undertake additional tasks as directed by the Operations Manager
To succeed in this role, you will have:
- Proven experience as an Executive Assistant or in a similar administrative role
- Strong organisational, communication, and time management skills
- Ability to handle sensitive information with discretion and confidentiality
- A flexible and proactive approach to changing priorities
- Experience working in a healthcare or government environment (desirable)
- A supportive and collaborative team environment
