Are you an organized, proactive professional passionate about supporting high-functioning teams? We are seeking a dedicated Department Secretary to be the backbone of our client's department’s daily operations. In this pivotal role, you will provide essential administrative support, coordinate key activities, and foster positive relationships that keep the department running smoothly and efficiently. This role is available to those residential to Karratha and the Dampier Region.
What You Bring:
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, Teams, SharePoint)
- Excellent organizational skills with high attention to detail and accuracy
- Exceptional communication and customer service skills
- Ability to build effective working relationships quickly
- Problem-solving mindset with strategic thinking capabilities
- Proven ability to work autonomously and in team environments
- Experience with SAP, Power BI, or similar tools (desirable)
- Valid WA C Class Driver’s License
- Knowledge of mining systems and processes such as SAP, Concur, and Amex (preferred)
- Experience managing SharePoint folders and email distribution lists
- Ability to coordinate travel, meetings, and events seamlessly
- Familiarity with onboarding contractors and maintaining organizational charts
- Knowledge of fleet and asset management, invoicing, and expense reconciliation
- Flexibility to adapt to evolving priorities and support ad hoc projects
- Minimum of 2 years’ administrative or secretarial experience in a corporate or industrial setting
- Relevant post-secondary qualification is advantageous
- Ability to coordinate and support onsite and remote activities, events, and team initiatives
- Understanding of mining or industrial environments is beneficial
- Willingness to support responsibilities such as event management and short-term department coverage
