An established and growing service-based business in Laverton North is seeking a highly organised Scheduler & Administration Support professional to join the team on an initial 8–12 week contract, with genuine opportunity for permanency for the right candidate.

This is a fast-paced, hands-on role that combines scheduling, customer service and administration. You will play a key role in keeping field technicians productive, customers informed and projects running efficiently.

The Role
You will be responsible for coordinating daily schedules, supporting service delivery and ensuring an exceptional customer experience.

Scheduling & Operations

  • Coordinate and schedule field technicians to maximise productivity and minimise travel downtime
  • Plan and manage service bookings in consultation with customers
  • Create, allocate and track service tickets through to completion
  • Prepare and issue quotes and invoices (training provided on internal systems)
  • Prioritise urgent works and manage multiple deadlines
  • Liaise with suppliers and subcontractors regarding scheduling and invoicing
  • Provide end-to-end administrative support across scheduled works and projects

Customer Service
  • Act as a key point of contact for clients via phone and email
  • Provide timely updates on service progress
  • Manage enquiries and resolve issues professionally and efficiently
  • Escalate unresolved matters where required
  • Build and maintain strong client relationships

Administration
  • Complete general administration including data entry and document management
  • Maintain accurate physical and electronic records
  • Support internal reporting and workflow coordination
  • Operate the switchboard and manage incoming enquiries
  • Assist with meetings, correspondence and ad hoc business support

About You
  • Minimum two years’ experience in scheduling and/or administration
  • Strong customer service experience
  • Excellent time management and organisational skills
  • Confident and professional communication skills
  • Ability to prioritise, problem-solve and work under pressure
  • High attention to detail and strong systems capability
  • Intermediate Microsoft Office skills (Word, Excel, Outlook)
  • Current Victorian Driver’s Licence

Desirable:
  • Experience in a service-based or trade environment
  • Exposure to payroll, finance or accounting systems
