Program Secretariat Opportunity – Funding and Disclosure Reform Program
Join a dynamic team in Canberra and contribute to strengthening Australia’s electoral system!
We are seeking a skilled Program Secretariat professional to provide exceptional governance and secretariat support to the Funding and Disclosure Reform (FAD) Program. This is a unique opportunity to play a pivotal role in enhancing transparency and accountability in Australia’s electoral framework.

About the Role
As a Program Secretariat, you will support the FAD Program’s governance bodies, including the Program Board, by delivering high-quality administrative and governance services. Key responsibilities include:

  • Organising governance meetings, preparing and quality-assuring documents, and maintaining accurate records.
  • Developing and distributing meeting agendas, minutes, and action items, while managing the Forward Work Plan.
  • Coordinating meeting logistics, including scheduling and facility setup.
  • Contributing to program reporting, risk escalation, and document drafting.
  • Supporting the Program Manager in developing work schedules, terms of reference, and operating procedures.
  • Maintaining stakeholder relationships and supporting capability development for new staff.
  • Managing conflict of interest registers and providing governance advice.

About the FAD Program
The FAD Program is dedicated to implementing legislative amendments to the Commonwealth Funding and Disclosure Scheme under the Commonwealth Electoral Act 1918. The program comprises three branches—Program Management Office, Regulatory Enablement, and Technology Delivery—working collaboratively to enhance regulatory capabilities through new processes, tools, and technology.

Key Requirements
Mandatory Criteria
  • Exceptional teamwork and collaboration skills to achieve program outcomes.
  • Outstanding written and verbal communication, with the ability to engage diverse stakeholders.
  • Detail-oriented, proactive, and results-driven work ethic.
  • Strong document preparation and presentation skills.
  • Ability to manage competing priorities, remain calm under pressure, and adapt to change.
  • Proficiency in Microsoft Office suite and familiarity with project management tools.

Desirable Criteria
  • Tertiary qualifications in a relevant field.
  • Minimum of 3 years’ experience in program administration or project coordination, preferably in a government context.

Additional Requirements
  • Security: Nationally Coordinated Criminal History Check Certificate and Baseline Clearance.
  • Citizenship: Australian Citizenship.
  • Political Neutrality: Commitment to maintaining impartiality.
  • Work Health and Safety: Compliance with WHS policies; suppliers responsible for personalised WHS equipment.
  • Location: Based in Canberra, with flexible working arrangements (combination of onsite at the National Office and remote work) considered.
