Purpose of this position
To provide administrative support to the Assets & Infrastructure Directorate in order to ensure efficient and effective service delivery.
Key Accountabilities
1 Provide prompt, efficient and accurate administrative services and outcomes for the Assets & Infrastructure Directorate.
2 Ensure matters of confidentiality or sensitivity are handled in an appropriate and timely matter.
3 Correctly prioritise, manage and undertake day-to-day work in a satisfactory manner.
4 Utilise office business equipment to undertake filing, photocopying, sorting, correspondence, mailing, binding, and any other duties as directed.
5 Produce material for Council’s website and communications team to highlight the work that Engineering Operations does.
6 Provide support for various functions, events, tasks and endeavours as and when required.
7 Process Service Requests, Purchase Requisitions and Purchase Orders as directed by City Operational Services, Strategic Placemaking and City Technical Services.
8 Maintain all related registers, records, and operational documentation
9 Order general stationary and maintain stationary supplies to a suitable level.
10 Organise and coordinate meetings and functions including arranging catering, minute-taking, etc as required.
11 Creation of spreadsheets and/or word documents to assist Coordinators in their day-to-day work, in particular relating to WHS.
12 Assist with telephone enquiries, correspondence, register nd searching in councils systems
13 Maintaining Engineering operations daily works scheduling when the service delivery scheduler is on leave.
14 Any other duties as directed by the Team Leader – Assets & Infrastructure Admin and/or Directorate.
Qualifications. Certificates & Licences
1 TAFE qualifications in business administration, local government, desktop publishing or equivalent 2 Class C Drivers Licence Essential
2 Excellent skills in Microsoft Office applications
3 Demonstrated IT literacy
4 Excellent time management and organisational skills
5 Ability to work under pressure and respond quickly to issues which are at times of a sensitive nature
6 Understanding of and commitment to WHS practices and EEO principles
7 Demonstrated commitment to customer service
Desirable
1 Previous local government experience
2 Knowledge of TRIM and TechnologyOne
3 Experience with Traffic subject matters
