Our client is seeking to engage a Workplace Service Coordinator on a contract for 10 months.
  • Located at Darling Tower, Sydney
  • Prior experience as Guest Services Ambassador, Facilities Management, Workplace Service Coordinator, using ticketing system in the past
  • Ready to go with tech, knows and understands Microsoft Office product, (Google suite and Slack is advantage)
Position Overview

The Workplace Facilities Assistant will provide support in Corporate Workplace Management in Australia. This position will report directly to the Manager of Workplace Services, located in Sydney. This role will assist in managing the day-to-day operational activities at the Darling Park Campus including comprehensive soft and hard facilities management services. The ideal candidate will have a working knowledge of workplace services, contractor management, work orders and key administration skills.

Duties & Responsibilities:
  • Responsible for technical and facilities operations, ensuring all planned maintenance activities are completed per the scheduled maintenance program
  • Provide proactive assistance with any 3rd party contractor works to ensure they will not impact existing infrastructure/building services
  • Respond and action within the SLA’s
  • Assist with the management of facilities, ensuring compliance with statutory regulations on fire, health, and safety standards
  • Assist with the management of workplace services programs
  • Provide after-hours emergency response support and site attendance as required including all adhoc reactive facilities maintenance requirements
  • Ensure an environment that supports teamwork, cooperation and performance excellence within the entire Real Estate and Workplace Services team
  • Build and develop effective client/stakeholder relationships across multiple levels of the organization
  • Deliver excellent customer service to meet client expectations
  • On-site key point of contact for facilities in the client's premises
  • Assist with the management of all key workplace contracts to ensure that they are professionally delivered at the right costs
  • Support the Workplace Services Manager in the operational requirements of the building move
  • Demonstrated knowledge/competency in using new technologies, particularly software and apps, to increase efficiency required
  • Support WPS (Workplace Services) team and collaborate with Project Management team to deliver WPS project readiness requirements across various project streams for Sydney Tower. Assist in the coordination, delivery, and execution of:
    • Migration Plan & Change Enablement
    • Operation Manuals, Training and Playbooks
    • Communications, Signage and Employee engagement
    • Relocation coordination and asset audit recording
    • Assisting with carrying out tasks on the Master Project Activities Tracker
    • Attend and act item minutes in multiple project and planning meetings as required
    • Onsite vendor mobilization, onboarding, and training support.
    • Experience in Space Planning support & MAC (moves/adds/changes)
    • Building/ office decommission activities and closures as required.
Our Ideal Candidate will have:
  • Minimum of 5 years of industry experience either in the corporate environment, third party service provider, or as a consultant
  • Facility or business management to a similar degree level or related vocational courses
  • Proficient creative verbal, written, and visual storytelling and communications skills
  • Flexibility and ability to liaise with multiple stakeholder and vendor relationships
  • Self-starter: handles self with minimal supervision and is proactive.
  • Ability to plan, organize and prioritize workload as required.
  • Proven experience in a ticketing or asset tracking, work order systems
  • IT proficiency with Slack or similar tools, Google suite products or Microsoft suite transferable skills, Work order management
