Our client is seeking to engage a Technical Assistant on a Permanent Full Time position.

Position Overview

This is an exciting and varied role and is effectively a client facing role dealing whose purpose is to assist with the Director's frantic caseload of queries liaising with regulatory bodies such as the ATO and ASIC and assisting efficient workflow of live engagements and accurate and timely processing of work.

There are also added dimensions of supporting the marketing efforts within the Canberra market as well as collaborating with team members based in Brisbane and overseas.

The role is full time and office based.

A key deliverable is the timely delivery of the majority of the directors and client teams' daily tasks that support engagements and that play a key role in the firm's essential compliance projects.

It also involves about 10% "PA type" duties such as diary management. There will be no typical day as you move between consulting with clients and the ATO, supporting compliance efforts, chasing documents and helping run the office, whilst managing the ever-changing and always-full diary of the director.

Key tasks include (but are not limited to):

  • Email management including responses, forwarding to appropriate staff, follow up directors for responses.
  • Managing the Director's calendar
  • Assisting meeting set-up for the Director and note taking
  • Documents and meeting support
  • Ordering new entities - Companies, Trusts etc
  • Involvement in regular client-related projects such as the annual direct debit renewal alongside the CDT
  • Assisting staff with chasing clients for information (email, call, zoom meeting etc)
  • Chasing clients for signed documents
  • Rearranging the director's priorities in real-time to reflect urgency of client's demands
  • Chasing clients for tax information (initial and queries)
  • Lodgements and Lodgement tracking and deferrals with ATO
  • ASIC Company Statements
  • General admin assistance to the CDT as required
  • Scanning work if required
  • Working with the PDM towards developing 95% + post-engagement feedback from clients
  • Maintenance of Firmwide Compliance Calendar
  • Additional ad-hoc and regular tasks that are required from time to time

Tasks shared with other members of the CDT include, but are not limited to:

  • Answering the phone and dealing with the request
  • Onboarding of existing / new clients
  • Preparing documents in NI for changes in an entity (address change, share transfer, amending deeds etc)
  • Processing of jobs (ITR, CTR, FBT, SMSF (big process))
  • Scanning (cover sheets, invoice approval forms and signed ELD's)
  • Assisting staff with any problems they may have
  • All projects
  • Assisting client in ATO payment plans'
  • Lunchtime reception relief (split between all Support staff)
  • Processing - CTR, Trust, ITRs, BAS, Super Funds etc
  • Scanning and saving documents such as ELDs, coversheets and invoice approval forms
  • Phone calls with ATO for various reasons such as revising amended BAS, updating registrations, and
  • remission of penalties etc.
  • Attending workflow meetings
  • Director IDs - assist clients with paper applications and updating XPM, the spreadsheet and NowInfinity as necessary
  • TOA follow ups as required and necessary
  • Additional ad-hoc and regular tasks that are required from time to time
