Our Federal Government client is seeking to engage an APS4 Section Support Officer on a contract for 12 months with potential extension.

Position Overview

The role of the Section Support Officer (Client Safety & Quality) works to the Assistant Director Clinical Practice Improvement.

The required to deliver high quality input and professional services in the areas of administration and operational support, secretariat support, project support and basic financial management support across all teams within the Section.

This role involves applying creative and innovative approaches to complex and sensitive issues, and managing multiple competing priorities to enable timely, effective and coordinated service delivery exercising sound professional judgement. The occupant of this position will work closely with the Director Client Safety and Quality and will also be a resource to each of the Assistant Directors and sub-teams within the section.

Duties & Responsibilities:

  • Provide high quality secretariat and administrative support including meeting coordination, travel coordination, mailbox management and collating records and maintaining registers (including electronic document management systems such as PDMS)
  • Developing and streamlining operational and team processes and procedures for increased efficiency
  • Coordination support for program and project management activities, with a focus on timeliness and attention to detail.
  • Basic Financial Management including processing invoices, assisting in section budget forecasting and day to day budget management. Managing and reconciling team credit cards in line with policy and departmental timeframes.
  • Work collaboratively with the section staff and be a coordination point to meet business priorities, including the development and maintenance of policies and procedures.
  • Provide support in the development, coordination and distribution of briefings, papers, submissions and correspondence for use in both internal and external decision-making forums.
  • Support an environment that encourages a willingness to adopt participative workplace practices in line with policies of WHS, Workplace Diversity and the Australian Public Service values, Employment Principles and the APS Code of Conduct.

Skills & Experience:

  • Demonstrated experience in an Administrative Support, Project Support or similar role and experience using record management systems is required.
  • Extensive experience in the use of Microsoft Office applications including Word, Excel, Outlook and PowerPoint, and Gov Teams is required. Advanced word processing skills are highly desirable.
  • Previous experience working in Australian Public Service roles is highly desirable.
