Our Federal Government client is seeking to engage an APS6 Secretariat Office on a contract for 12 months with potential extension.

About the Role:

The role of the Secretariat Officer is to deliver high quality professional services to support the Division with governance of its committees.

This role involves attention to detail in ensuring committees are supported effectively to enable executive decision making within the Division.

Duties & Responsibilities:

In accordance with the principles of workplace diversity, Workplace Health and Safety (WH&S), participative work practices and values, and within the standards for positions at this level, the Secretariat Officer is responsible for undertaking the following duties:

  • Provide end to end secretariat support for a number of internal governance committees ensuring meetings are effectively coordinated, with agendas, papers, and minutes delivered to quality standards
  • Draft and seek approval for agendas and coordinate the preparation of meeting papers
  • Develop and implement a governance framework and suite of templates to support the work of the committees
  • Maintain effective working relationships with internal staff and senior executives, and external stakeholders
  • Other administrative and coordination duties related to the secretariat function including scheduling and sequencing of meetings, and monitoring a shared mailbox
  • Handling a large volume of complex and sensitive information, with a demonstrated capacity for discretion and awareness of security requirements;
  • Support the Director in the delivery of governance functions, through the implementation and maintenance of governance processes and policies, including in internal and external audits, legal and policy conformance, risk management, privacy, feedback management, probity and other governance issues;
  • Work collaboratively with other sections in the Division to provide expert and current advice on a range of governance issues and participate in several core activities and projects;
  • Provide strategic information and advice to the Director Governance on emerging issues in strategy and governance; and
  • Promote a culture of integrity, accountability and best practice.

Skills & Experience:

  • Demonstrated experience in providing secretariat services to senior executive and high-level committees
  • Exceptional organisation and time management skills, with the ability to plan, multi-task and prioritise.
  • Strong attention to detail in all aspects of work.
  • Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel.
  • Excellent written and verbal communication skills.
  • Well-developed judgement and interpersonal skills.
