Our Federal Government client is seeking to engage an APS6 Secretariat Advisor on a contract until 29/07/2022 with potential extension of 2x6 months.

About the Role:

The Secretariat Advisor is responsible for provision of Secretariat services, and the management of Board and Advisory Group business.

Duties & Responsibilities:

The Secretariat Advisor will work closely with the Director, Secretariat Services to deliver the team's key priorities and is accountable for the following:

  • Taking ownership of a complex portfolio of high-level Agency Board, Advisory Committee or other governance forums, with responsibility for management of all meeting business and logistics.
  • Developing and implementing secretariat and governance frameworks to support effective decision making by Board members and ensure confidence in Board and Advisory Committee deliberations.
  • Manage, contribute to and quality check briefings to the Board, Advisory Committee members and Senior Executives across the Agency and health jurisdictions to ensure clarity and consistency of communication and informed decision making with regards to Agency business.
  • Cultivating strategic, high-level relationships with key stakeholders including the Department of Health, jurisdictional representatives, industry groups and consumer groups to support the delivery of Agency outcomes.
  • Management of logistic and operational matters relating to Board and Advisory Committee business, including scheduling and sequencing of meetings, management reporting, member engagement and remuneration arrangements, travel, technology, finance and event planning.
  • Ensuring Agency, Board and Advisory Committee business occurs in manner consistent with the relevant legislative, regulatory and best practice requirements, including proactive identification of emerging areas of risk or responsibility.
  • Handling a large volume of complex and sensitive information, with a demonstrated capacity for discretion and awareness of security requirements.
  • Analyse, research and resolve complex matters relating to the Board and Advisory Group business and escalating to manager, where required.
  • Cultivating or engaging with relevant community of practice to support adherence with industry best practice and continual improvement.
  • Demonstrating and promoting professionalism and resilience during periods of high pressure and uncertainty including provision of support to the team and colleagues.
  • Providing feedback and coaching to internal stakeholders to improve quality, consistency and accuracy of secretariat delivery.
  • Follow all Agency policies, procedures and instructions and take reasonable care for your own health, safety and wellbeing in the workplace.

Skills & Experience:

  • The role works collaboratively with the Director, Board Secretary and the Office of the CEO to deliver professional corporate secretariat and administrative support to the Agency Board, Board advisory committees and other Agency groups.
  • The role also collaborates, negotiates and influences broadly across the Agency senior executive team to support the delivery of program outcomes through efficient and effective governance support.
  • The role requires extensive engagement with a range of senior external stakeholders representing public and private health interests, industry experts and consumer representatives.
