Our client is seeking to engage a Receptionist on a Permanent, Full Time position.
Position Overview
General Reception Duties
  • Meet and Greet Walk Ins
  • Answer incoming calls
  • Collect - send mail
    Maintain Office - Files
  • Manage general office files, correspondence, equipment etc
  • Maintain neat and tidy work area
  • Maintain neat and orderly Job Files i.e Job files- General
    General Correspondence
  • Prepare correspondence as requested by Franchisee - Management prompt
  • Present in Professional Manner i.e spelling, address etc
    Liaise with Clients, Subcontractors and Suppliers
  • Attend to requirements ( as appropriate) and promptly and efficiently
  • Establish and maintain happy relationships
  • Maintain high standard communication and quality services at all times
  • Obtain and Maintain records of sub contractors details i.e Risk control statements, insurance , ABN etc to be renewed yearly
    Manage Documentation per Job
  • Upload compliance certificates trades
  • Prepare NMI Compliance certificates
  • Assist in Hand Over Documentation
    Set Up Site File Per Job
  • Organise site signage etc for Supervisors
  • Working Drawing etc
  • Order- replenish site signage , Handover pack supplies etc as required
    Maintain Job Information In Computer System
  • 13 Week Defect Data Entry in jobs and Builders Portal
  • Construction Update to Clients
  • Photo upload to client Profile on Desktop
  • Photo upload to Client Portal
    Maintain Stores
  • Ensure sufficient supplies are available of Stationery
  • Maintain in a neat and orderly Fashion
  • Attend meetings as needed
  • Participate in team Environment
  • Be willing to learn, enhance skills , take responsibility and be accountable
    Hand Over Preperation
  • Make Hand Over Baskets up
  • Keep stock replenished
  • Order Stock
  • Prepare all documentation
  • Assist Accounts Manager as needed
