Our client is seeking to engage a Receptionist on a casual basis for 20 hours a week to start with.

Duties & Responsibilities:

  • Prepare Reception area ready for the day, ensuring the correct lighting is set, blinds are open, stationery is stocked (including staplers, printers, photocopier, credit card machine rolls, etc)
  • Complete all duties on shift checklists
  • Warmly greeting guests as they arrive in the reception area, acknowledging their presence as soon as they enter Reception
  • Record guests' details when they arrive, including checking credit card details and identification
  • Anticipate guests needs wherever possible
  • Answer the telephone as quickly as possible and assist the person phoning by providing information, taking a booking, and/or answering questions
  • Attending to emails and travel agents bookings, in a timely manner
  • To record and take payment for, all sales of miscellaneous items Eg drinks, snacks, exhibition tickets. etc
  • Settlement of guest accounts upon checkout
  • Request Housekeeping to check the guest's room before returning the guest's bond
  • Follow the correct procedures for returning of a guest's cash bond, especially ensuing that the guest signs the receipt that they were given at check-in (acknowledging the return of the funds) and making sure that we retain that receipt
  • Maintain a good knowledge of room types and rate structures
  • Communicate reservation details and any special requirements to relevant departments
  • Assist the Accounts Department staff where possible and as requested Eg processing of debtor payments, control of debtor paperwork, answering guest account queries, chasing debtors for payment, etc
  • Report and document any observed or known safety hazards, conditions or unsafe practices and procedures to Management, Housekeeping or Maintenance, as appropriate, immediately
  • Refer guest problems or complaints to supervisor
  • Keep the reception area organised and clean at all times, including the guest sitting area
  • Attend organised staff training sessions/meetings, if at all possible
  • Other reasonable duties as directed by other staff, as appropriate

  • Be respectful of all people on site - including: management; other staff members; guests; contractors; and delivery personnel
