We are currently seeking a Property Coordinator for a temporary 6 - 7 month position working a minimum of 38 hours per week, Monday to Friday located in Cloverdale.

    The purpose of this position is to effectively manage the City's facilities, property and land assets to maximise efficiencies and successfully achieve the strategic outcomes of the City.

    Key Accountabilities
  • In consultation with the Manager City Facilities and Property, coordinate the effective management and review of the City's property leases and agreements including negotiating with relevant stakeholders, to ensure the City's interests are maximised and the City's strategic and organisational objectives are achieved.
  • Prepare documentation required for the acquisition and disposal of property and land including the calling and evaluation of tenders, ensuring all associated transactions including contracts, leases and agreements meet the relevant legal and legislative requirements.
  • Manage the City's tenancies to ensure all parties are fulfilling their responsibilities and obligations including payment of rents and outgoings, participating in inspections and ensuring corrective action is taken as required.
  • Assist in the development, ongoing management and review of an integrated Property and Land Asset Management Plan and associated processes, including identifying avenues and strategies for income enhancement as appropriate.
  • Receive public and general enquiries, complaints and correspondence, taking appropriate action in line with established policies and practices and with the aim of maintaining a strong customer focussed service.
  • Provide input to the Manager City Facilities and Property in the preparation of annual budgets including cost estimates and cost benefit analysis, monitoring expenditure as required, to ensure compliance with approved budget parameters.
  • In consultation with the Manager City Facilities and Property undertake specific projects including relevant research, preparation and presentation of reports and discussion papers to Council, Committees or other forums (internal and/or external) and in particular, feasibility studies and cost analysis of proposals.
  • Attend as required, Council, Committee, relevant organisational and stakeholder meetings, representing the Department as appropriate.
  • Coordinate information and records management activities relating to the City's property and land assets in particular, maintenance of relevant data, including tenant and property registers and lease documents, ensuring legislative compliance requirements are achieved and providing reports as required.
  • Collect, maintain and analyse relevant statistical data as required identifying significant data trends and referring any relevant issues and corrective action to the Manager City Facilities and Property as appropriate.
  • Liaise with the Manager City Facilities and Property on the development, implementation and review of the strategies, policies, work practices and procedures of the Section to ensure they remain contemporary, sustainable and meet the needs of the organisation, community, applicable legislation and standards.
  • Monitor and identify any relevant legislative changes, government directives or industry initiatives and prepare reports for appropriate officers and/or stakeholders highlighting relevant issues and implications and proposing action as required.

    Requirements for the position:
  • Possession of, or progress towards, a relevant qualification in property management, business or related field and/or significant relevant experience in a property management role with proven knowledge and understanding of property management processes and contracts
  • Extensive knowledge of and experience in lease, property and/or facility management, including the ability to understand and interpret complex legal agreements and contracts
  • Possession of, or the ability to acquire, a current motor vehicle driver's licence
  • Possession of, or the ability to acquire, a satisfactory National Police Clearance Certificate (dated within the last twelve months)
