Chandler Macleod is looking to engage a Project Analysis & Support Officer for a contract term of up to 24 months with a well-established NSW Government department. This role will be based in Sydney, with hybrid working options.

Job Specification

The Project Analysis & Support role provides analysis and support services to facilitate the operation of the Capital Works Strategy and Delivery business branch in the delivery of capital projects for the agency.

The position holder will work closely with the Senior Program Manager Capital Works & Delivery to prepare comprehensive action plans, including resources, timeframes, budget required to complete all projects on time and within budget.

In this position, you will be required to perform but are not limited to the following tasks:

  • Provide a range of general project analysis & support services, including records management, routine correspondence, meeting and event coordination, to support the effective delivery of projects for the Capital Works Program
  • In conjunction with the Senior Program Managers, monitor the overall quality, risks and benefits in Smartsheets for individual programs against the project plans and project related activities, identifying any dependencies and/or issues in the Risk Register.
  • Collect, consolidate and analyse program and project data to support effective decision making
  • Monitor and report on compliance with established standards to ensure the organisation adheres to agreed policies and standards.
  • Collect and compile information for, and prepare documentation and correspondence to support information flow, reporting and decision making
  • Coordinate and manage records and databases, complying with administrative systems, processes and policies, to ensure that all information is accurate, stored correctly and accessible
  • Complete routine financial transactions and purchasing services such as raising purchase orders and processing invoices for payment, administering insurances and bank guarantees for construction works, ensuring compliance with DPS financial standards and procedures
  • Acts as the initial point of contact for the business unit and assist with communications, monitoring and responding to routine enquiries and escalate and /or redirect issues as required, to ensure the provision of accurate information
  • Update and maintain electronic and physical records as required to ensure timely, accurate and up to date information is available, provide support to the Senior Program Manager with the processing of project reports for stakeholders and managers.
  • Work collaboratively with all project team members to provide constant and consistent administrative assistance and support as required across the range of projects including assisting with staff onboarding as well as ordering and maintaining office supplies and equipment for the team.

About You

To be successful in this position, you will need to have experience in the following:

  • Demonstrated analysis and support experience, preferably in a capital works, building maintenance, construction environment or a large complex organisation.
  • Well-developed communication skills including the capacity to interact and converse and build relationships with a diverse range of stakeholders at all levels
  • Effective organisational skills with the ability to balance competing priorities, meet tight deadlines and deliver high quality information and documentation
  • Relevant tertiary qualifications in business administration or project management practice is desirable.
