Our Federal Government client is seeking to engage a Program Support Officer on a contract until June 2021.

Position Overview

Reporting to the Assistant Director, Information Office, this position is responsible for triage, logging, co-ordination and tracking responses to Ministerial correspondence, Freedom of Information (FOI) requests, Complaints and other requests for information.

The position is responsible for managing the team mailbox and assignment of tasks to Program Officers and Senior Program Officers and other stakeholders within the Agency and Agency Partner organisations.

The position will also be responsible for maintaining team artefacts such as procedures, forms and knowledge management system.

Duties & Responsibilities:

  • Mailbox management, case management and coordination of tasks to resolve complex enquiries.
  • Co-ordinate and follow up tasks assigned to other teams within the Agency and partner organisations.
  • Undertake research to address complex issues/complaints in consultation with internal and external stakeholders and subject matter experts.
  • Prepare less complex draft written material as required for enquiries, Ministerial Correspondence, Ministerial Briefs, Commonwealth Ombudsman complaints, Office of the Information Commissioner complaints, FOI requests and other requests for information.
  • Develop and maintain effective relationships with stakeholders.
  • Create, document and review procedures and other artefacts used by the Information Office.
  • Prepare reports in relation to team tasks and outcomes.
  • Adhere to the Agency Values and Code of Conduct.
  • Other duties as directed.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline clearance.
  • Previous experience in co-ordination of responses to enquiries, Ministerial Correspondence, Ministerial Briefs, Commonwealth Ombudsman complaints, Office of the Information Commissioner complaints, Freedom of Information requests and/or other requests for information is desirable.
