Our Federal Government client is seeking to engage a Program Officer on a contract for 6 months with potential extension.

Position Overview

The Governance and Program Officer reports to the Director, Governance and Program Office, Digital Health Record Program and will provide high-level support to the Digital Health Record Program Office. The Governance and Program Officer will:

  • screen and manage the central Digital Health Record inbox including the allocation of tasks to Program staff, setting deadlines, tracking tasks and ensuring appropriate action is taken ensuring deadlines are met;
  • respond to enquiries that come into the Digital Health Record inbox from the Program team and internal/ external stakeholders;
  • draft, coordinate and collate all governance documentation including; briefings, Minutes and input for the Program, ensuring that responses to internal and external stakeholder is well-informed, timely and effective;
  • draft, coordinate and collate reports required for the Program;
  • establish and maintain tracking systems for efficient management and monitoring of correspondence, briefings, official files and other relevant documentation relating to the Program;
  • develop and maintain process documentation for the Program;
  • provide secretariat support to governance committees that sit under the Digital Health Record Program Board, including the preparation of agendas, meeting papers, minutes, actions and decisions;
  • provide high-level administrative support for the recruitment of the Program team and on-going support to staff from a human resources perspective;
  • perform quality assurance on documentation to ensure correctness of format, style, grammar, presentation and quality; and
  • undertake any other duties as directed by your manager, appropriate to this level of classification which will contribute to the operation of the Program or to the Digital Solutions Division

Qualifications and Experience

  • At least two years' experience providing high-level support to an executive office and/or Program team;
  • Proficient in the use of the Microsoft Office Suite;
  • Experience using HP Records Manager (TRIM); and
  • Existing knowledge of ACT Health and ACT Government processes and procedures.

Selection Criteria

  • Proven extensive experience working in an executive and/ or program office including the ability to exercise initiative to provide timely and well-informed responses to queries from the wider team and internal/ external stakeholders.
  • Demonstrated ability to work effectively both individually and as a member of a team with excellent time management and organisational skills.
  • Demonstrated ability to set priorities for yourself and members of the team to meet the desired outcomes of the program, including the ability to exercise initiative to follow-up upcoming or outstanding work to ensure deadlines are met.
  • Excellent interpersonal, written and verbal communication skills, with the proven ability to liaise with key internal and external stakeholders across different levels and cultivate productive working relationships and to accurately record information and develop and maintain documentation and tracking mechanisms for documentation.
