We are currently seeking an enthusiastic Office Administrator with sound Xero skills to join a small team. This is a key position that reports directly into the CEO and supports the business with a variety of administrative tasks including accounts.

You will need to be super organised and quick to pick up new systems and processes.

Duties & Responsibilites

Accounts, Finance and Budgets

Carry out the Accounts processes of the organisation, including but not limited to:

  • Assist with management of the annual membership payment and renewal cycle.
  • Process payments, approvals and staff credit cards.
  • Complete end of month bank reconciliations against Xero as well as monthly General Journal Entries for Accrued expenses and Depreciation.
  • Prepare Annual and Monthly Profit & Loss and Balance Sheet.
  • Assist CEO to prepare annual and monthly budget.
  • Manage cashflow and term deposits.
  • Maintain direct debit subscriptions.

Human Resources

  • Process payroll and complete Payroll and Superannuation General Journal in Xero.
  • Maintain employee records.

Governance & Reporting

  • Coordinate Board and Committee Meetings and prepare financial and other board reports.
  • Liaise with Accountant.
  • Prepare for annual audit and liaise with Auditor.
  • Assist coordinate AGM Agenda, audited financial statements and papers.
  • Record minutes of AGM and lodge required reports and forms to ASIC.

Members, Sponsors & Stakeholders

  • Data entry and management of records in the CRM database.
  • Process telephone, email and reception desk enquiries.
  • Attend events as required.


Office Suppliers, IT and Support

  • Coordinate the CEO's calendar and appointments.
  • Provide basic IT support and liaise with IT & CRM support service providers.
  • Manage key suppliers, contracts and costs including insurance and telecommunications.
  • Manage vehicles, F&B supplies, office supplies and equipment.

Other

  • Adherence to company strategies, objectives, plans and policies.
  • Remain knowledgeable on the industry, policy and member services.
  • Work effectively within the team.
  • Any other duties as required.
