Our Federal Government client is seeking to engage an APS4 Ministerial Coordination Officer on a contract until December 2020, with potential extensions.

Position Overview

Our Client provides coordination and support services as well as advice on Ministerial and Parliamentary protocols to Ministers' offices, Executives and staff.

They manage the flow of information between the internal and Ministers' offices, coordinates responses and input to a range of Ministerial and Parliamentary documents and, through its quality assurance (QA) process, ensures documents prepared by the client are of the highest standard and comply with Ministerial and client style preferences.

They also manage formal and informal Ministerial Communication, requests and activity. The section is responsible for coordinating formal ministerial requests such as Ministerial Correspondence, Briefs and Submissions and supporting informal ministerial activity, including provider or participant specific assistance and advice on policy or key issues. They are responsible for managing the relationship between the Minister's Office and the internal and key stakeholders. They ensure the client provides consistent, accurate and responsive information to the Minister and his Office and Executives, to build confidence in the client with both the Minister and the Australian public.

Duties & Responsibilities:

  • providing high quality advice and customer service to staff and key stakeholders;
  • day-to-day processing of ministerial documents, including:
    • coding and registering ministerial correspondence;
    • processing referrals from other Commonwealth agencies;
    • coordinating requests from ministerial offices; and
    • packaging and end processing of ministerial correspondence, briefs and submissions.
  • actioning less complex requests received through the ministerial mailbox, including input requests, coordination tasks and requests for advice;
  • providing effective and responsive Helpdesk support on ministerial systems and processes; and
  • responsibility for preparing documents for the daily parliamentary courier run to Parliament House.

Desirable Experience / Requirements:

  • Previous experience in a parliamentary or ministerial role and/or coordination experience in a Commonwealth agency will be highly regarded.
  • Applicants must be able to demonstrate high level organisational, time management and interpersonal communication skills and be able to adapt to a changing environment.
  • Previous experience with parliamentary document management or data entry systems.
  • Entry level checks, including a National Police Check, will be required for all successful candidates.
