The Company
Our client is an independent statutory agency, supporting people with significant and permanent disabilities and their families.

Chandler Macleod have 14 available APS Administration roles, throughout locations such as Mt Gambier, Oakland Park, Port Adelaide, Noarlunga, Blair Athol, Modbury, St Marys, Elizabeth, Port Augusta and Adelaide.

The Roles: Front of House, Business Support Officer and Administration Officer

The Front of House is a team membership position and is responsible for setting priorities and managing work flow for their role and producing work that is subject to regular monitoring by more senior positions within their management structure.

The position will undertake procedural, clerical, administrative support and operational tasks including some basic research and analysis activities.

The position may have a public contact role and may be required to communicate with and provide straightforward advice to a range of internal and external stakeholders.

The Business Support Officer provides high quality professional, friendly and respectful management of administrative duties within the Administration Management team. You will be part of a team responsible for the smooth and efficient operation of service delivery sites across the region. You will have an eye for detail and an ability to thrive in a constantly changing environment with limited guidance, you will be responsible for a broad range of administrative tasks to assist and support day to day activities within the office.

The Administration Officer will work within defined parameters relating to their area of responsibility. They will support their team to apply well-established policy, principles, practices and procedures to achieve outcomes that supports and contributes to the clients objectives to 'build a world-leading Scheme'.

The position will provide operational and administrative support that is informed and directed by sound knowledge and may undertake some research and analysis activities.

The position will have a considerable level of contact with internal and external stakeholders and will be required to communicate with and provide advice to resolve moderately complex enquiries.

Responsibilities may include but are not limited to:

Front of House

  • Providing counter/reception support for the local office including participant enquiries in the self-help kiosks.
  • Managing the team shared email inbox, calendars, appointments and telephone enquiries.
  • Undertaking research and investigation activities and preparing associated reports and correspondence.
  • Coordinating appointments with the use of Agency office facilities and ensuring facilities are accessible for participants.
  • Coordinating and organising executive meetings.
  • Undertaking a range of data entry activities.
  • Receiving and recording complaints and other feedback in the NDIA Business systems.
  • Recording information provided by participants in the Agency database regarding changes or issues with participant plans and ensuring follow up is completed.

Business Support Officer

  • Provide administrative support to the region.
  • Management of email and appointments/calendar system for local office and multiple staff.
  • Undertake research and investigation options available in the local area and prepare associated reports and correspondence.
  • Provide front of house/reception support for the local office as required.
  • Provide thorough information and effective support to internal and external stakeholders.
  • Coordinate appointments with the use of Agency office facilities and ensure these facilities are neat and appropriately prepared
  • Book and acquit all office travel and fleet management and coordinate credit card acquittal requirements.
  • Accurately enter initial participant details into the NDIS IT system.
  • Coordinate and organise executive meetings and community forums where necessary.
  • Undertake a range of data entry responsibilities.
  • Research best value for and assist with the procurement and purchasing of small plan components.
  • Record information provided by participants in the Agency database in relation to changes or issues with their plan and ensure these are assigned for follow-up.

Administration Officer

  • Organising the team email inbox, calendars and appointments, responding to team priorities and timeframes.
  • Researching and responding to general enquiries and analysing documents and data.
  • Coordinating and preparing meeting minutes and papers.
  • Supporting the drafting of written communications and managing documents and databases.
  • Organising travel and finance reconciliation.
  • Participating in project management work as directed, supporting the delivery of work priorities.

It is highly desirable that the successful applicant understand or lived experience in the field of disability.

Must hold a current DCSI Working with Children, or willing to apply.
