Our Federal Government client is seeking to engage a Executive Support Officer on a contract for 6 months.

Position Overview

APS5 Executive Support Officer

The duties will include, but are not limited to, the following:

  • Support of one or more Assistant Secretaries (SES Band 1) within the Finance and Property Services Division and coordinate the administrative functions and operations of the work area.
  • Provide high-level administrative support to Finance and Property Services Executives as required. This includes diary management; coordination, management and quality control of correspondence and other electronic and paper-based material; the preparation of minor correspondence; financial management; conduct of less complex research; and the efficient use of office systems.
  • Operate and maintain computer-based (Microsoft 365) applications and provide Finance and Property Services Executives and stakeholders with timely, accurate and useful information.
  • Initiate advice, regular reporting and respond to requests from Finance and Property Services Executives and stakeholders for information on administrative or operational matters.
  • Provide support on a range of divisional strategic coordination and support activities.
  • Contribute to the planning of a work area including development of branch business plans, establishing priorities and monitoring progress.
  • Undertake other duties as directed.

APS6 Executive Support Officer

The duties will include, but are not limited to, the following:

  • Support the First Assistant Secretary (FAS) Finance and Property Services (SES Band 2) and manage the administrative operations of Office of the FAS FPS, including diary and mailbox management.
  • Assist with the coordination of the Office of the FAS FPS' activities and monitor progress of key deliverables, ensuring completion within deadlines and achievement of required outcomes.
  • Manage accommodation arrangements, including the allocation of staff parking and access passes.
  • Contribute to the ongoing development of efficient and effective work practices across the Finance and Property Services Division to ensure completeness, accuracy and timeliness of information.
  • Research and prepare advice, coordinate information and reports on a diverse range of topics and assist sections with ad hoc tasks, including recruitment and procurement activities.
  • Prepare and review high level communications, correspondence, briefs and submissions as required.
  • Work collaboratively with the Office of the Secretary, Office of the Deputy Secretary and other executive support teams across the department.
  • Undertake other duties as directed.
