Our Government client is seeking to engage a Executive Officer on a contract for 4 months.

Position Overview

The position will report to the Division's Executive Officer. Under general direction, the occupant will:

  • Provide a range of high level confidential administrative support to the Executive Director and other Senior Executives, including proactive diary management, arranging and scheduling appointments and meetings, answering telephone calls, organising travel and accommodation arrangements, and ensuring emails and enquiries are dealt with promptly and efficiently.
  • Assist with coordination of division workflow and provide administrative support across the division, acting as a first point of contact for internal and external stakeholders, and other Government officials.
  • Undertake high-level coordination and liaison on division activities and maintain effective working relationships across the Institute.
  • Monitor and prioritise tasks and activities for the Executive Director and broader team, including managing correspondence and referring to appropriate areas for action, and monitoring correspondence tracking systems to ensure quality control and timeliness of responses.
  • Assist the Executive Officer in coordinating responses on a range of issues in an efficient manner, as required.
  • Assist with drafting correspondence, reports and briefs, including the assembly of supporting documentation, whilst maintaining and ensuring appropriate confidentiality of sensitive information.
  • Provide secretariat support to various committees and working groups as required, including preparing minutes and recording/tracking the status of actions from each meeting; coordinating, preparing and distributing documentation for meetings; maintaining, updating and ensuring all Members have an up-to-date copy of the relevant Terms of Reference.
  • Provide project support as required, including researching information and collating responses in a timely manner.
  • Maintain file records and support the team with the document management systems (HP TRIM and other programs as required) and controls.
  • Undertake other Executive support duties as required and appropriate at this level.
