Chandler Macleod are looking for a ASO4 Executive Officer for a State Government client initially for a 6 month period for fulltime work 37.5hrs per week Monday to Friday.

About the Role
The Executive Officer is responsible for confidential secretarial and administrative support to our client, Audit and Risk Management Committee and the Leadership Group and also provides a high quality Personal Assistant service to the General Manager.
The role is also responsible for:

  • Coordinating and distributing minutes and agenda
  • Ensuring documents accurately reflect the business conducted by the Board.
  • Coordinating travel, accommodation, sitting fee payments and venue arrangements for Board members.
  • Responsible for the efficient operation of the General Manager's office and coordinates the General Manager's diary, document management, files and information systems.
  • Undertakes minor projects and research as directed by the General Manager and the Business Manager

    Key Outcomes
  • Board, Committee and Leadership Group are well coordinated, agendas and papers prepared and distributed in an efficient and timely manner, and a correct record of meetings and business is kept.
  • Are provided with confidential and efficient support service, and information and decisions are effectively communicated between the Board, Committee, staff and relevant stakeholders.
  • Board correspondence, including Ministerial briefing notes, cabinet submissions and internal minutes, are accurately prepared, tracked and filed in a timely manner.
  • The General Manager receives a high quality Personal Assistant service that contributes to achievement of outcomes, including coordinating diaries, arranging appointments and organising travel and accommodation bookings, as and when required
  • Tasks that ensure quality service and which contribute to the achievement of team and organisational objectives are appropriate prioritised.

    Technical/Professional/Knowledge & Experience
  • Evaluates information to effectively ascertain a practical solution that is aligned with organisational/customer needs.
  • Is thorough in checking work to ensure correct spelling and written communication that is aligned with the expected standards and protocols of the organisation.
  • Seeks input from others with useful knowledge and experience as well as diverse perspectives in exploring and testing possible solutions to the problem.
  • Demonstrates an adaptable approach when interruptions or a change of direction occur, whilst maintaining a focus on priorities.
  • Understands Government directions as it relates to the Agency.
  • Is able to relate confidently to people at all levels in an organisation and work with networks to get things done.
  • A tertiary qualification in Business Administration or related area is desirable.

Must hold a current NPC.
