Our Federal Government client is seeking to engage several Executive Assistants at various levels ranging from APS4 - APS6, on varying contracts between 3 to 12 months with potential extensions.

Position Purpose
As an Executive Assistant, you'll oversee the senior executive's diary and appointments, manage emails and other support activities. In your day-to-day role, you'll communicate with the departments senior leaders and staff, ministerial offices, other government departments and members of the public, on behalf of the senior executive. You'll arrange and provide support for meetings, prepare minutes and action items, book appropriate venues, handle travel arrangements and assist the senior executive, and staff in the branch or work area, in fulfilling their responsibilities.
This is an exciting opportunity to provide valuable administrative and executive support to our senior staff. The role may evolve to include additional business area specific tasks depending on the direction of the line area over time.

Under limited direction, the Executive Assistant will provide high level administrative; secretarial and research support to the executive team, which includes:
  • Being highly organised and experienced in providing executive support in a dynamic office environment.
  • Proactive in anticipating the needs of senior executives, takes ownership, applies sound judgment and makes reasonable decisions.
  • Prioritises and responds to competing and often urgent requests in a professional and efficient manner, while maintaining high work standards and accuracy
  • Builds cooperation and overcomes barriers to information sharing, communication and collaboration.
  • Confidently uses, and supports others to use, digital systems and tools such as the Microsoft suite and WebEx effectively and efficiently
  • Displays discretion and handles confidential and sensitive information appropriately.
  • Secretariat support, informing members of upcoming meetings, sending out documents for the meetings as well as processing payments.
  • Managing incoming and outgoing meeting requests
  • Monitoring and filtering email correspondence
  • Preparing meeting packs for internal and external meetings
  • Additional duties as directed by the departments senior executive(s)
