The Executive Assistant provides high level support to the Executive Director, Cities Revitalisation and Place to ensure the efficient and effective operation of the Division and support the achievement of operational objectives.

Key Accountabilities

  • Provide confidential executive support to the Executive Director including preparation of correspondence, reports, presentations and other essential documentation.
  • Determine, develop, and manage processes for administration and the flow of work for the Division ensuring streamlined and effective outcomes.
  • Effective and accurate establishment, monitoring and maintenance of records, systems, processes and databases to ensure information is managed efficiently, stored securely and readily accessible.
  • Ensure the effective and timely management of incoming and outgoing correspondence including actioning on behalf of the Executive Director. Prepare, edit and format confidential briefing notes, presentations, ministerial and regular correspondence and reports for final consideration by the Executive Director within required timeframes and to expected quality standards.
  • Support the Executive Director meeting attendance by organising meetings, preparing agendas, papers and taking minutes, ensuring attendees are adequately equipped with relevant papers, making travel and hospitality arrangements and tracking progress of all corresponding actions.
  • Provide diary management and daily schedule coordination ensuring appropriate access to and the most effective use of the Executive Director's time.
  • Identify, prioritise and determine the urgency of critical or sensitive issues for the Executive Director's attention to enable timely discussion and resolution.
  • Raise purchase orders and process accounts through the computerised accounting system.
  • Provide administrative support to the Directors within the Cities Revitalisation and Place Division when required.
  • Exercise confidentiality and discretion with internal and external stakeholders to ensure the timely flow of information.

Key Challenges

  • Working as an effective member of the team in a high-pressure environment, with minimal direction and supervision and complete tasks in a timely manner
  • Negotiating and re-prioritising own and the Executive Director's schedules, given heavy workloads, tight deadlines, and conflicting high-level commitments and priorities.
  • Providing advice and guidance across a range of confidential and sensitive issues and subject areas in situations of tight deadlines and conflicting priorities.

Skills and Experience

  • Relevant experience as an Executive Assistant to a Senior Executive or other relevant support roles.
  • Knowledge of and proven ability to interpret and apply government protocols and administration policies, processes and procedures.
  • Excellent communication skills both written and verbal.

Additional Information

This role will be based between Sydney CBD, Central Parramatta and Working from home. It's imperative you are flexible with these requirements to be successful in this role.
