Our Federal Government client is seeking to engage an APS5/6 Executive Assistant on a contract for 6 months with potential extension of 6 months.

Duties & Responsibilities:

  • Managing, coordinating and prioritising the workflow of the AS/DISI office to ensure priorities and deadlines are met, including diary management, meeting logistics, email and telephone enquiries and escorting visitors when appropriate.
  • Assisting with AS/DISI task tracking together with policy, project or operational issues and management.
  • Filing, maintaining and management of records using 'Objective' (client's Record Management System) in line with agency records management policies and procedures.
  • Supporting the AS/DISI office with the coordination of ministerial and parliamentary requests as well as reports, submissions and briefs.
  • Working collaboratively as a member of the executive support team and in partnership across business areas to assist with the management and operations of the division.
  • Travel coordination (including making air and hotel bookings, establishing and acquitting travel and credit card)
  • Preparation of briefing packs, reports or papers and providing secretariat support where required.
  • Assist with activities track sheets management and record keeping

Skills & Experience:

The contractor shall be proficient in the following essential skills:

  • Intermediate to advanced level MS Word, Excel and PowerPoint skills including formatting and creation of formula, drop down box, graphs and charts
  • Experience in booking travel (e.g. using QBT/AOT)
  • Experience in conducting purchasing and procurement
  • Interpersonal, communication and collaboration skills to build and maintain good working relationships within the section and other areas of agency.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline security clearance.
