Our Federal Government client is seeking to engage an Executive Assistant on a contract for 4 months with potential extension.

About the Role:

The position is responsible for providing administration support to the Executive Group Manager (EGM), Executive Branch Manager (EBM), and broader executive management team, as well as strategic coordination of the group activities and communication. The role is responsible for managing the EGM & EBM diaries, research, managing coordination tasks for the group; human resource, financial matters and other administrative duties. The role must work proactively with minimal supervision against tight timelines.

Duties & Responsibilities:

Provide high level confidential Executive and corporate support services to the group including:

  • Review and coordinate communication and documentation in and out of the group, prioritising, redirecting, tracking, researching background information as required, and responding as appropriate;
  • Prepare correspondence, reports, and assemble supporting documents for a range of meetings. Coordinate responses on a range of issues for the branch;
  • Coordination of group governance activities including financial administration, HR administration and Shared Services liaison, and management of recruitment processes;
  • Manage the Executive Group Manager's diary, emails, meetings and travel arrangements as required.
  • Coordinate and track progress of the group's: Business, Annual Procurement, Risk Management, Disaster Recovery plans.
  • Critically examine, evaluate and take appropriate action on reports, audits, submissions and information submitted to the group and the Executive to ensure relevance, completeness and accuracy.
  • Provide excellent, pro-active end-user support and training, taking ownership of the end-to-end user experience and resolution of queries and complaints.
  • Provide a liaison point between the Executive's office and other areas of the Directorate and other department Directorates across a range of matters.
  • Collect and maintain records in accordance with the Territory Records Act 2002.
  • Other duties as required.

Selection Criteria - Essential:

  • Experience in providing high level professional administrative and executive support services, requiring high levels of initiative and discretion. In particular a demonstrated ability to plan, prioritise, coordinate and manage the workflows associated with a high-pressure environment in the delivery of Executive and group support service.
  • High level administrative and business analysis skills within an office environment including the ability to establish quality systems and processes to support the group's requirements and the Executive.
  • High level oral and written communication skills, including liaison and interpersonal skills that facilitate establishment and maintenance of relationships with people at all levels.
  • Demonstrated leadership skills, high level motivation, and the ability to succeed in a fast-paced, highly reactive complex environment.
  • Demonstrated commitment and understanding of the customer service standards of the Department, particularly the ability to manage sensitive and confidential issues and deliver quality services and products to a wide range of customers.
  • A demonstrated commitment to the implementation of the ACTPS Code of Conduct and the principles of workplace diversity, participatory work practices and workplace health and safety.
