Our Federal Government client is seeking to engage an APS4-5 Executive Assistant on a contract for 3 months.

Duties & Responsibilities:

  • Acting as the first point of contact for the Assistant Secretary's office including screening and actioning phone calls, emails and correspondence, ensuring a high level of support to the Assistant Secretary, including effective distribution of tasks to relevant staff in the branch as appropriate.
  • Undertaking diary management, including prioritising time and drawing attention to matters of importance. Being flexible to any changes in the executive's schedule, including rescheduling to achieve the required outcomes.
  • Arranging and coordinating meetings with internal and external stakeholders and coordinating venue bookings, audio visual equipment and other meeting resources as required.
  • Organising travel and accommodation logistics, preparing travel itineraries and acquittal of credit card and travel expenses.
  • Monitoring the Assistant Secretary's responsibilities to ensure tasks are triaged and actioned.
  • Under general direction, coordinating correspondence and corporate documentation such as submissions, speeches, talking points, research papers, hot issue briefs, and other communication.
  • Providing administrative support in a timely manner, including, but not limited to, printing and collating documents and other briefing material.
  • Work with limited supervision, with drive, flexibility, initiative, sound judgement and discretion.
  • Liaising with other areas of the department and external organisations.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline security clearance.
