Our Federal Government client is seeking to engage an APS4 Executive Assistant on a contract for 7 months.

Position Description:

As an APS 4 Executive Assistant you will play an important role in supporting the Assistant Secretary of the Protected Species and Communities Branch to ensure their branch work priorities are achieved in a timely manner. You will coordinate and manage all business aspects of the Assistant Secretary's office, support the branch and be accountable for organising your workload and undertake administrative support work. Key duties may include:

  • Providing first point of contact for all business activities undertaken by the Assistant Secretary, including managing and responding to phone calls, emails and general correspondence
  • Providing high level administrative and coordination support, including managing and organising meetings, anticipating and managing competing commitments
  • Preparing responses to routine matters, coordinating branch responses to information requests, tracking workflow, collation and follow up of information and tracking of work to ensure deadlines are met
  • Undertaking quality control of documentation
  • Developing and maintaining professional relationships with various stakeholders at all levels across the department, the Minister's Office, other senior government officials and external organisations
  • Undertaking a broad range of corporate and administrative support functions across the branch

Skills and Capabilities

  • Administrative support skills and strong communication skills
  • Organisational skills with the ability to respond effectively and quickly to stakeholders
  • Well-developed computer skills in Microsoft Office applications
  • The ability for understanding of and compliance with relevant legislative frameworks
  • The ability to gather information, problem solve and use good judgement
  • The ability to work collaboratively and respond positively to managing changing priorities
  • The ability to work as an effective and supportive team member.
  • The ability to display a high level of professionalism and champion the behaviours in line with the APS Values and Code of Conduct

Knowledge and Experience

  • Demonstrated experience working as an Executive Assistant of Administrative Officer in either the public or private sector.
