The Chandler Macleod group are searching for an Executive Assistant on a non-ongoing permanent placement, located in Mawson Lakes.

We are seeking an enthusiastic and professional individual to provide high-level executive and administrative support to the Head of Service Operations within the Service Delivery Group. In this role, you will work under limited supervision, anticipating and managing the requirements of the Head of Service Operations in supporting the business area in meeting key strategic and operational objectives. You will work closely with the Head of Service Operations to manage their time effectively, organise their complex schedules, calendar items and coordinate their travel logistics and provide operational and project management support.

The successful candidate will have well-developed communication skills, excellent organisation, judgement skills and attention to detail to deliver quality outputs within tight and often conflicting deadlines. You will be responsible for coordinating meetings, organising briefing materials and any additional information that may be required. You will be responsible for drafting a range of correspondence including emails, letters, briefing materials, talking points and internal communications as well as develop key internal presentations.

Our ideal candidate will have:

  • High quality attention to detail, the ability to work autonomously, use initiative and demonstrated experience in coordinating a high volume of work with the ability to meet strict deadlines.
  • Previous experience as an Executive Assistant to an executive level, with the ability to work with multiple stakeholders across a business and prioritise requests.
  • A high level of initiative and an ability to effectively manage competing workloads and rapidly changing priorities.
  • Highly-developed communication skills (oral, written, liaison and interpersonal), including the ability to build and manage relationships with stakeholders at all levels.
  • Be tactful and trustworthy, sensitive with personal, complex and highly confidential information.
  • High attention to detail and experience with Microsoft Office Suite, with advanced proficiency in the use of Microsoft Outlook, Word, PowerPoint and basic level user of Excel, including the ability to learn new systems quickly.

For this role, we will consider how well you:

  • Manage the day-today activities of the Head of Service Operations including:
    o calendar and time management
    o reviewing and triaging emails including escalating critical issues
    o coordination of travel bookings and itineraries
    o credit card reconciliation and invoice processing
    o preparation of meeting agendas, papers and minutes, and organising events and workshops Including drafting of correspondence
    o maintain a register of team action items
    o filing and document management and provide general secretariat support.
  • Act as a point of contact for other client divisions and working closely with the National Operations Manager.
  • Establish and maintain positive working relationships with the clients Senior Executive Group, other staff and key stakeholders as necessary.
  • Organisation of internal and external meetings, teleconferences and workshops including agenda's, the collation of papers, folders, logistics, preparation of documents and minute taking.
  • Sensitively handle correspondence directed to the Head of Service Operations.
  • Coordinate competing requests and communicate priorities with executives to effectively manage the workflow for immediate client business areas.
