Our Federal Government client is seeking to engage an APS4 Executive Assistant on a contract for 6 months with potential extension of 6 Month.

Position Overview

The Foundation Skills Branch is seeking an Executive Assistant (EA) to support and manage the office of an SES Band 1. The EA will be required to work as part of a high performing branch within a complex and fast-paced environment. This is a position of trust that requires emotional intelligence, sound judgement and high levels of personal integrity, sensitivity, confidentiality and discretion.

Ideally, you will have experience as an EA, thrive adding value by using initiative and judgement, have the ability to develop solutions and anticipate and respond to the needs of the SES Officer; possess excellent interpersonal skills, interact positively with a wide variety of stakeholders, be approachable and able to liaise confidently and negotiate with internal and external stakeholders, maintain collaborative working relationships, be highly organized, and adept at managing multiple diaries. Also, you will be required to operate with discretion in managing the flow of work and visitors, while working collaboratively across the branch to achieve outcomes.

Duties & Responsibilities:

  • Act as the first point of contact including greeting visitors, receiving and responding to phone calls, emails and correspondence, ensuring a high level of customer service to all staff and external parties
  • Undertake diary management, including prioritising time and drawing attention to matters of importance
  • Monitor and track incoming documents to ensure correspondence is triaged and actioned accordingly
  • React quickly and flexibly to any changes in the executive's schedule, including rescheduling to achieve the required outcomes
  • Under general direction, coordinate correspondence, corporate documentation, submissions, speeches, talking points, research papers, hot issue briefs, and other communication
  • Arrange and coordinate meetings with internal and external stakeholders and coordinate venue bookings, audio visual equipment and other meeting resources as required
  • Travel coordination (including establishing and acquitting travel requests)
  • Provide administrative support in a timely manner, including, but not limited to, printing and collating documents and other briefing material.

Skills & Experience:

  • Demonstrated experience in providing support to senior executives
  • Demonstrated ability to work in productive partnerships to achieve business results
  • High level organisational and time management skills
  • Well-developed judgement, verbal and written communication and interpersonal skills
  • Ability to build and maintain productive professional relationships and networks
  • Accuracy and attention to detail
  • Ability to work autonomously and in a team environment
  • Experience in using computer software programs and systems in an administrative role
  • Reliability, integrity and strong personal drive.

Mandatory Requirements:

  • The successful candidate will be required to have a NV1 security clearance.
