Our Federal Government client is seeking to engage an Executive Assistant on a contract for 6 Months.

Position Overview

Our Client require the services of a suitably experienced and qualified person to temporarily perform the services of EA to provide support to the General Managers and on occasion the broader Branches. The specified personnel will report directly to the General Managers and is required to attend client's offices Monday to Friday excluding public holidays from 8:30-5:00pm ACT local time, unless otherwise agreed with the General Managers.

The Executive Assistant (EA) will report directly to the General Manager for Patents Mechanical & Oppositions Group (PMOG) and the General Manager for Patents Chemical, PBR and Electrical Group (PCPEG), and will be part of a small cohesive team supporting the executive.

An EAs primary role is to provide comprehensive administrative support to an Executive. Secondary to this, EAs provide support to the branch, division and/or group they work in.

Duties & Responsibilities:

  • diary management and correspondence (including answering phones and managing emails)
  • management of travel including but not limited to
  • o assistance with travel budget management
  • o acquittal of travel expenses
  • o booking flights and accommodation for SES and branch; and
  • o coordination of international travel (i.e. travel approvals, quotes, QTB booking form
  • and other supporting documentation) in consultation with the Travel Unit
  • maintaining phone lists, contact lists and organisational charts
  • coordination of meetings (including booking technology), events, venue hire and catering
  • secretariat support including minute taking.
  • provision of supplies and consumables, and
  • provide back-up support when other EAs are on leave
