Our Federal Government client is seeking to engage an APS4 Executive Assistant a contract until June 2021, with potential extensions of 2X 12 months.

Position Overview

The Executive team within Command and Support includes an APS 4 level Executive Assistant to manage the day-to-day administration of the Office of the Head and Deputy Head, Joint Support Services Division. The Command and Support team is a small tri-service/ APS cell led by an officer at the Colonel level. The Executive Assistant will also assist the Command and Support team as required in a variety of administrative and coordination tasks.

Duties & Responsibilities:

  • Provide a high level of administrative support to the Head and Deputy Head, Joint Support Services Division:
    • Diary and email management including prioritising and scheduling meetings, monitoring and actioning emails as required, travel, itinerary and accommodation, as well as telephone contact.
    • Arrange and coordinate meetings with internal and external stakeholders and coordinate room bookings, audio visual equipment and other meeting resources as required.
    • Prepare and manage meeting materials, correspondence, presentations and minutes, including the administration of critical, confidential and sensitive information.
    • Prepare agendas and meeting material as required. Record meeting outcomes and decisions for internal meetings.
    • Gather and collate information for the preparation of briefing material and reports as requested.
  • Undertake other administration tasks and adhoc activities for the Command and Support Team as required.
  • Establish and maintain effective and productive working relationships within Joint Support Services Division, the wider Defence Community and external stakeholders.

Qualifications / Skills / Experience Requirements

  • High level organisation and management skills are essential to the role, including diary management, correspondence management, organising travel and meetings, gathering and collating meeting materials.
  • Strong interpersonal skills, a positive disposition and a well-established service mentality are essential in this position. Demonstrated experience in supporting a senior level executive position is highly desirable.

Mandatory Requirements:

  • The successful candidate will be required to have a Baseline clearance.
